The challenge
Allocating national sport funding is a multi stage process with real consequences. Applications are submitted, reviewed, revised, approved and finally allocated, and each stage is touched by different people with different authority. Run over spreadsheets and email, accountability gets murky: who can see what, who can approve what, and at which stage. A single permissions mistake can undermine the integrity of an entire allocation.
Permissions as the foundation
The core of the system is a granular access engine. Instead of a simple administrator versus user split, roles control not only what a person can see but which actions they can take at each stage of the funding lifecycle. Internal roles cover administrators, a vice president for sport, high performance advisors and database administrators, alongside external roles with either edit or minimal permissions. Each role can be activated separately per application, so the platform mirrors the organization's real governance.
The funding workspace
Budget requests are submitted into one workspace and then tracked, revised, approved and allocated through every stage of the process. Reviewers, approvers and administrators each work inside their own mandate, and a request carries its history with it as it changes hands.
Managing users and roles
Administrators create users, assign them to organizations and sports, and control both their access and their permissions action by action. Role groups are defined centrally and toggled active or inactive per application, with internal and external role types kept clearly separate.
What changed
More than 300 people now work in one governed system rather than across spreadsheets and inboxes, and requests follow a defined lifecycle. Every one of more than 1,000 distinct actions is gated by a specific permission, so nobody can review, approve, edit or allocate outside their mandate. Every step is attributable, which gives the organization a complete and auditable record of who did what and at which stage.
Built to evolve
The suite uses a micro frontend architecture. Front ends are owned and deployed independently, then composed into one experience, so new modules ship without every application being released together. Next.js and React interfaces connect to Node.js services over a shared access control layer at the core.
