The challenge

Running payroll for a growing team is harder than it looks. Salaries have to be withheld against the right fiscal year tax brackets, payslips generated and stored, expenses collected and reviewed, and everything reconciled, usually across spreadsheets, photographed receipts and manual tax arithmetic. Every manual step is a place for an error that ends up in someone's pay or in a tax filing.

Calculate once, correctly

OneHub is built as one governed system with a module for each part of the lifecycle and a clear separation between the administrator and accountant roles. The design principle is that a number is calculated once and then reused. Payroll pulls its brackets straight from the fiscal year schedule, expenses are read and summarised by AI, and every finalised run feeds the same reporting layer, so the dashboard, the payslip and the tax certificate always agree.

Payroll and tax

Payroll runs once per calendar month, with withholding applied automatically from the fiscal year that month falls into, bonus handling included and payslip PDFs generated at the end. The bracket schedule itself is editable and versioned by fiscal year, and a new schedule replaces the whole year atomically rather than being edited in place.

AI where review takes time

Staff submit expense reports and Claude reads each line item, categorises it and writes a plain English analysis of the report. That analysis flags policy risks, personal purchases and missing documentation, so the reviewer starts from a considered summary instead of a stack of photographed receipts.

Reporting and the wider platform

A finance view compares any window against the period before it across gross pay, tax withheld, bonuses, reimbursements and net paid. Around the core sit employees, rewards, tax credits, time off, a full audit trail and a Microsoft 365 sync, and the platform runs multi currency across Pakistani rupees and Canadian dollars.

What changed

One governed hub replaced spreadsheets and manual tax arithmetic. Payroll finalises with correct withholding, payslips and tax certificates generate on demand, and expense reports arrive already read and summarised, so review becomes a decision rather than a data entry task.
